PDPA Policy

Alexis Design and Build (“Alexis”, “we”, “our”, “us”) is committed to complying with the Personal Data Protection Act 2012 of Singapore (“PDPA”). This PDPA Policy sets out how we fulfil our obligations under the PDPA and how we manage personal data that is in our possession or under our control.

This PDPA Policy applies to all individuals whose personal data is collected, used, disclosed, or otherwise processed by Alexis, including clients, prospective clients, website users, business partners, suppliers, subcontractors, consultants, and any other individuals with whom we interact in the course of our business operations.

1. PDPA Principles

Alexis recognises and adheres to the key obligations under the PDPA, including the obligations relating to consent, purpose limitation, notification, access and correction, accuracy, protection, retention limitation, transfer limitation, and accountability. We take reasonable steps to ensure that personal data is managed responsibly and in accordance with these principles.

2. Personal Data

For the purposes of this PDPA Policy, “personal data” refers to data, whether true or not, about an individual who can be identified from that data alone or from that data and other information to which Alexis has or is likely to have access.

3. Collection of Personal Data

Alexis may collect personal data directly from individuals or indirectly through lawful means. Personal data may be collected when individuals interact with us through our website, submit enquiries, communicate with us by phone, email, WhatsApp or other communication platforms, attend meetings, enter into contracts, provide documentation, or otherwise engage our services. Personal data may also be collected in the course of project execution, authority submissions, site inspections, and compliance processes.

4. Purpose Limitation

Personal data collected by Alexis is used only for purposes that are reasonable and appropriate in the circumstances. These purposes include, but are not limited to, responding to enquiries, preparing quotations and proposals, providing design, renovation, construction, A&A and carpentry services, managing and executing projects, coordinating with consultants, subcontractors, suppliers and authorities, handling approvals and regulatory submissions, administering contracts, processing payments, maintaining records, resolving disputes, complying with legal and regulatory obligations, improving our services, and communicating with individuals regarding our services.

5. Notification

Alexis takes reasonable steps to inform individuals of the purposes for which their personal data is collected, used, or disclosed, whether through this PDPA Policy, our Privacy Policy, contractual documents, forms, or other appropriate means.

6. Consent

Alexis collects, uses, and discloses personal data only with the knowledge and consent of the individual, unless otherwise permitted or required by law. Consent may be given expressly or deemed to have been given through the individual’s voluntary provision of personal data for a purpose that is reasonable. Individuals may withdraw their consent by providing written notice to Alexis, subject to legal, regulatory, or contractual restrictions. Withdrawal of consent may affect our ability to continue providing services.

7. Access and Correction

Individuals may request access to their personal data in our possession or under our control, as well as information about how their personal data has been used or disclosed. Individuals may also request correction of any personal data that is inaccurate or incomplete. Requests must be made in writing, and Alexis may charge a reasonable administrative fee as permitted under the PDPA. We will respond to such requests within the timeframes prescribed by law.

8. Accuracy

Alexis makes reasonable efforts to ensure that personal data collected and used is accurate and complete, particularly where the personal data is likely to be used to make a decision that affects the individual or is likely to be disclosed to another organisation. Individuals are responsible for informing us of any changes to their personal data.

9. Protection of Personal Data

Alexis implements reasonable administrative, physical, and technical safeguards to protect personal data from unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks. These measures are designed to protect personal data in both physical and electronic forms.

10. Retention Limitation

Alexis retains personal data only for as long as it is necessary to fulfil the purposes for which it was collected or to meet legal, regulatory, business, or operational requirements. When personal data is no longer required, Alexis will take reasonable steps to securely destroy or anonymise the data.

11. Transfer of Personal Data Outside Singapore

Where personal data is transferred outside Singapore, Alexis will ensure that the receiving organisation provides a standard of protection that is comparable to that required under the PDPA. Such transfers will be conducted in accordance with applicable legal requirements.

12. Disclosure of Personal Data

Alexis may disclose personal data to third parties where necessary for legitimate business purposes, including employees, consultants, subcontractors, suppliers, building management, MCST, HDB, BCA, URA, regulatory authorities, legal advisers, auditors, and service providers. Such disclosures are made on a need-to-know basis and subject to appropriate safeguards.

13. Data Breach Management

Alexis has procedures in place to manage data breaches in accordance with the PDPA. In the event of a data breach that is likely to result in significant harm to affected individuals or is of a significant scale, Alexis will take reasonable steps to assess the breach, contain it, and notify the relevant authorities and affected individuals where required by law.

14. Accountability

Alexis takes responsibility for personal data in its possession or under its control and has implemented policies and practices to ensure PDPA compliance. We regularly review and update our data protection practices to maintain compliance with applicable laws and industry standards.

15. Data Protection Officer

Alexis has appointed a Data Protection Officer to oversee compliance with the PDPA and to handle personal data-related enquiries, requests, and complaints.

16. Updates to This PDPA Policy

Alexis may amend or update this PDPA Policy from time to time to reflect changes in legal requirements, business practices, or operational needs. The latest version of this PDPA Policy will be published on our website.

17. Governing Law

This PDPA Policy shall be governed by and construed in accordance with the laws of the Republic of Singapore.
